BOOKING & PRICING

How do I officially book Jay Port Media?

Booking is confirmed once a signed service agreement and a non-refundable retainer are received. All inquiries and bookings go through the official contact form on this website — not DMs, not social media messages, not verbal agreements. If it isn't documented, it isn't booked.

Is a deposit required?

Yes. A non-refundable retainer — typically 30–50% of the total — is required to hold your date. It's credited toward your balance. The remaining amount is due before the event date unless a written payment plan has been agreed upon in advance.

What forms of payment do you accept?

All pricing is in USD. Accepted methods include bank transfer, Zelle, Venmo, and digital invoicing. Cash and personal checks are not accepted. Payment terms are fully outlined in your service agreement before you sign anything.

What is your cancellation policy?

Retainers are non-refundable in all cases. They compensate for the time held and work done to prepare for your event.

    30+ days out — retainer is forfeited; remaining balance is voided.

    Within 30 days — up to 50% of the remaining balance may be owed depending on preparation already completed.

    Within 7 days or same-day no-show — full balance is owed.

Reschedules are handled case-by-case and must be confirmed in writing.

Why don't your prices show on the website?

Every production is different. Event length, crew size, location, deliverables, and turnaround all affect the final number. A flat-rate listing would either overcharge simpler clients or shortchange complex ones. Every inquiry gets a transparent, itemized quote — nothing hidden.

Do you offer payment plans?

Payment plans are available on a case-by-case basis for larger productions. All installment schedules must be agreed upon before signing and are documented in the contract. Missed payments without prior communication may result in forfeited deliverables.

WHAT YOU RECEIVE

What do I actually receive when the project is done?

Fully edited, export-ready files delivered through a private online gallery. What's included — photos, video, highlight reel, photo booth gallery — is specified in your contract before anything is signed. You receive finished work, not a folder of raw material to sort through yourself.

Will I receive RAW or unedited files?

No. RAW files are never delivered — at any price point, under any circumstance. The edit is the product. Handing over unedited files would be the equivalent of a restaurant sending you unprepared ingredients. Every file you receive reflects the full production process from capture to delivery.

How many photos or videos will I receive?

Deliveries are curated by quality, not padded by volume. Minimums for edited images or video length are stated in your contract. The goal is a gallery where every single file is usable — not 700 near-identical frames.

What does the Active Capture Experience (photo booth) include?

The Jay Port Active Capture Experience is a fully branded, studio-quality photo booth activation. Depending on your selected package, it includes:

    Custom event overlay or branded print template

    Instant digital delivery to guests via text or email

    Professional attendant on-site for the full activation window

    Setup, teardown, and transportation

    Full online gallery of all sessions delivered post-event

Note: 360-degree booth services are no longer offered.

TURNAROUND & REVISIONS

How long until I receive my finished files?

Turnaround is stated in your contract. General timelines:

    Event photography — 7–14 business days

    Cinematic portrait sessions — 5–10 business days

    Event video / highlight reel — 2–4 weeks depending on scope

Rush delivery is available for an additional fee if scheduling allows. This must be requested and agreed upon before the booking is finalized.

How many revisions are included?

Two rounds of revisions are included in most packages. A revision covers reasonable adjustments to color, pacing, or structure — not a full creative overhaul or a change in direction from what was originally agreed upon. Additional rounds are billed at an hourly rate. Scope changes that require significant re-editing are treated as a new project phase.

Can I provide a shot list or specific requests?

Yes — for events, a must-have shot list is encouraged. Submit it at least 48 hours before the event. Reasonable requests are always honored. That said, no photographer or videographer can guarantee every moment at a live event. What's captured reflects what's accessible within the conditions on the day.

RIGHTS & USAGE

Who owns the photos and videos after delivery?

Jay Port Media, LLC retains full copyright and creative ownership of all original content produced. Clients receive a non-exclusive license to use the delivered files for personal or agreed-upon commercial purposes. You may not sell the files, claim them as your own original work, or sublicense them to third parties without written permission.

Can Jay Port Media use my content for portfolio or marketing?

Yes, unless a confidentiality clause is included in your contract. Jay Port Media reserves the right to use images and video for portfolio, website, and social media purposes. If your event is private or sensitive in nature, request a privacy clause before signing — accommodated on a case-by-case basis.

Can I use the photos in commercial advertising or campaigns?

Personal printing — framing, albums, gifts — is covered under your standard client license at no extra charge. Commercial use such as advertising, promotional campaigns, product packaging, or resale requires a separate commercial license. This must be discussed and agreed upon before the shoot date, not after delivery.

DAY OF THE EVENT

What if you have an emergency on my event day?

Jay Port Media maintains relationships with vetted associate photographers and videographers for exactly this scenario. In the rare event of an emergency, a qualified replacement is sent — not a cancellation. You'll be notified immediately and the replacement will be fully briefed. This is covered in your service agreement.

What if the event runs past the contracted time?

Overtime is billed at an agreed hourly rate stated in your contract. Extended coverage is never automatic — it must be communicated and approved on-site. If your schedule changes significantly, reach out before the event day so adjustments can be made in advance.

Do you travel for events outside of Okinawa?

Yes. Jay Port Media covers events across Japan and is open to domestic and international engagements. Travel to mainland Japan — Tokyo, Osaka, Yokosuka-area installations — is available. Travel fees including flights, accommodation, and per diem are itemized in the quote and confirmed before the contract is signed.

WORKING TOGETHER

Can a guest or friend photograph alongside you at my event?

Guests taking personal photos is expected and never an issue. However, bringing a separate hired photographer or videographer without prior discussion creates conflicts in coverage, creative direction, and liability. Any additional production personnel must be approved in writing before the event.

Do you work with military units, DoDEA schools, and on-base organizations?

Yes — this community is central to what Jay Port Media does. Military balls, unit events, PTO functions, school portraits, and on-base activations are all within scope. If your organization requires specific vendor approval, contractor documentation, or base access coordination, reach out early — these are manageable with adequate lead time.

What if I'm not satisfied with the final product?

Communicate — that's what the revision process is for. If something doesn't align with what was discussed, raise it during the active revision window, not after files have been downloaded and months have passed. Issues outside the revision window or involving preferences not part of the original brief may not be covered. Clear communication upfront prevents most of this.

Do you offer discounts?

No blanket discounts, and no haggling on rates. The pricing reflects professional-grade deliverables, post-production expertise, and the experience behind the work. For the events and portrait sessions I specialize in, the rate is the rate. If budget is a real constraint, the right conversation is about narrowing scope — not reducing the value of what's being delivered.
